What We Do with Your Personal Data
We process personal data only for the purposes for which they are collected. The purpose is dependent on whether you use only our website or our services. If you apply for or use our advisory services, we collect personal data. If you have a consultant contract with us, we collect personal data. We use this personal data for the provision and performance of these services. We may use personal data for other purposes including communications, but that will only occur in the case we have consent from you.
We process and retain personal data for the following purposes and periods with the applicable legal basis:
- Maintenance and development of consultant relationships
- Provision of services to partner organisations
Should we intend to use the information for any further purpose, we will always inform you beforehand.
What Types of Personal Data We Collect
The personal data we collect depends on whether you just visit our website or use our services. If you visit our website, you do not need to provide us with any personal data. However, your browser transmits some data automatically, such as the date and time of retrieval of one of our web pages, your browser type and settings, your operating system, the last web page you visited, the data transmitted and the access status, and your IP address.
If you use our services, personal data is required to fulfill the requirements of a contractual or service relationship, which may exist between you and our organisation.
We collect:

- Correspondence and other communications, including emails, notes from telephone conversations

Online Applications and Calls for Proposals
When you submit an application through our online forms (such as Calls for Proposals or organisational development support), we collect the following personal data:
- Contact details (name, email, phone, function/position)
- Organisational information (name, address, website, legal status, budget, donors)
- Application content (project description, countries of activity, uploaded documents such as proposals, budgets, or supporting materials in PDF, DOCX, PPTX, or XLSX format)
This data is processed for the purpose of evaluating your application and, if successful, managing any partnership or support provided. The legal basis is your consent (provided via the form’s consent checkbox) and our legitimate interests in selecting partners for peacebuilding activities.
Uploaded files and application data are stored securely on our servers and in our Microsoft 365/SharePoint environment (EU data regions). Access is restricted to authorised PeaceNexus staff and, where necessary, external reviewers involved in the selection process (under strict confidentiality).
You may edit or withdraw your application at any time before the deadline using the unique link emailed to you upon submission. Withdrawal of consent will result in your application being removed from consideration.
Sharing of Your Personal Data with Third Parties
To perform our services, your personal data may need to be shared with or disclosed to service providers, other organisations or, in some cases, public authorities. We may be mandated to disclose your personal data in response to requests from a court, police services or other regulatory bodies. Where feasible, we will consult with you prior to making such disclosure and, in order to protect your privacy, we will ensure that we disclose only the minimum amount of information necessary for the required purpose.
We use Microsoft 365/SharePoint as a processor for secure storage and collaboration on application data. Microsoft acts under a Data Processing Agreement with appropriate safeguards, including data storage in EU regions where possible.
How Do We Look After Your Personal Data?
We limit the amount of Personal Data collected only to what is fit for the purpose. We restrict, secure and control all of our information assets against unauthorized access, damage, loss or destruction; whether physical or electronic. We retain personal data only for as long as is described above, to respond to your requests, or longer, if required by law. If we retain your personal data for historical or statistical purposes we ensure that the personal data cannot be used further. While in our possession, together with your assistance, we try to maintain the accuracy of your personal data.
Application data from Calls for Proposals is retained for the duration of the selection process and any resulting partnership (typically up to 5 years for audit and reporting purposes), after which it is securely deleted or anonymised.
How Can You Access Your Personal Data?
Under Swiss and EU law, you have the right to request access to any of your personal data that we may hold. If any of that information is incorrect, you may request that we correct it. If we are improperly using your information, you may request that we stop using it or even delete it completely.
If you would like to make a request to see what personal data of yours we might hold, you may make a request.
Where it may have been necessary to get your consent to use your personal data, at any moment, you have the right to withdraw that consent. If you withdraw your consent, we will cease using your personal data without affecting the lawfulness of processing based on consent before your withdrawal.

Some applications may involve special categories of personal data (e.g., information revealing ethnic origin, political opinions, or religious beliefs in the context of conflict sensitivity work). We process this only with your explicit consent or where necessary for our legitimate non-profit activities under Article 9 GDPR.
